Migration Tool: Sending Easy Links for Recurring Donors

The Migration tool makes it simple to move your recurring givers over from your previous giving platform, so their support can keep going without interruption.

Accessing the Migration Tool

In the Dashboard, you can expand the ➕ More dropdown menu in the left sidebar. The Migration tool will appear at the bottom of the list.


How It Works

Upload Recurring Donors

Our Onboarding team will upload your recurring giver data into Overflow's giving platform.

Send Easy Links

Once your data is uploaded, reach out to your recurring donors with Easy Link emails. These unique, one-click links let donors review their pre-loaded giving details instantly.

  • All Pending Donors: Click the Actions button, and select Send Easy Link(s) to All from the dropdown menu.

  • Bulk Selection: Check the box at the top to select all donors on the page, select individual checkboxes to choose specific donors, or hold Shift to select a consecutive range. Click the Actions button, and select Send Easy Link(s) to Selected from the dropdown menu.

    • You can only select donors shown on your current page. If you have a large donor list, we recommend setting your page to display up to 100 entries first.

  • Single Selection: Click the ellipsis (⋯) at the end of a donor's listing, and select Send Easy Link to send them a fresh link.

Donor Experience

When a donor clicks their Easy Link, their giving details are automatically filled in. They just need to enter their payment information and submit their gift!


Track Progress

Each tab helps you monitor who's made the switch so far.

  • 🔴 Action Required: Donors whose Easy Link has expired before they completed the switch.

  • 🟡 Pending: Donors who received an Easy Link email, but haven't taken action yet.

  • 🟢 Completed: Donors who've successfully transitioned their gift.


Cancel Previous Recurring Gifts

Once a donor transitions to Overflow, their recurring gift on the previous platform will need to be canceled. For a smoother experience and to help avoid double charges, we suggest your organization cancel it directly.

  • Cancel It Directly (Recommended): Check the Recurring module daily to see which donors have set up their new gift, then cancel their donation on your previous platform.

  • Donor Cancels It: They can follow these steps, which cover most (but not all) giving platforms.

Either way, please let your Onboarding Specialist know, so your Easy Link emails reflect the right instructions.


FAQs

Setup and Sending

Will Donors' Payment Methods Be Populated Automatically?

No, payment details aren't transferred from your previous platform. Donors' giving details (amount, frequency, fund, etc.) are pre-loaded, but they'll need to manually enter their payment information.

Why Doesn't a Donor Appear in the Migration Tool?

There are 2 common reasons:

  1. The donor didn't have an active recurring gift at the time your list was pulled from your previous platform; or

  2. They share contact information with another donor. (Since our system matches donors by email or phone, their recurring gifts may have merged into a single shared account.)

The quickest fix is to direct them to set up a new recurring gift through your cash giving flow. Alternatively, you can send us their name, contact information, and recurring gift details, and we'll add them to the Migration tool.

What Happens if a Donor Has Multiple Recurring Gifts?

Donors may show up more than once in the Migration tool if they have multiple recurring gifts. They'll get a unique Easy Link email for each one, making it easy to set up every contribution.

Can I Resend Easy Links to My Recurring Givers?

Absolutely! Easy Links expire every 72 hours. We recommend resending them to pending donors as soon as they expire. Feel free to keep sending links as needed to encourage donors to make the switch!

Managing Donor Status

What if a Donor Uses the Donation Page Instead of Their Easy Link?

That's perfectly fine! If a donor sets up a recurring gift directly through your Overflow URL instead, please manually mark their token as redeemed, so they stop receiving reminder emails.

Find the donor in the Migration tool, click the ellipsis (⋯) next to their listing, and select Mark as Redeemed.

Should I Mark a Gift as Redeemed or Delete It?

  • In most cases, you should mark recurring gifts as redeemed, even for donors who plan to keep giving in-person. That way, if they ever switch to online giving, our team can simply reactivate their token.

  • If a donor isn't planning to give going forward (e.g., they've stopped attending your church), it's best to delete the pending gift instead.

How Can a Donor's Status Be Restored From Completed → Pending?

Mistakes happen! A donor might open their Easy Link, but leave before finishing the submission. Simply reach out to Support to reactivate their token!
