Settings: User Management
Last updated: September 24, 2026
Our User Management tool makes it easy to set the level of Dashboard access each person on your team should have.
Where to Find the Tool
Click your initials in the top-right corner of your Dashboard.
Select the Users tab from the left sidebar of the Settings modal.
Here, you'll see everyone who currently has access to your Dashboard.
Managing Users
Adding A New User
In the Users tab, click the Invite button in the top-right corner.
Enter the email address for the user(s) you'd like to add.
Configure their role and permissions.
Note: Editors need to accept their Dashboard invitation before you can customize their permissions.
Click Send Invite to send out the Dashboard invitation.
Your new user will get an email invite prompting them to finish setting up their Dashboard access.
Google sign-in works for accessing the Dashboard, but the ProPresenter Helper App requires its own separate Dashboard login credentials to connect.
Setting Permissions
Every user's permissions start with a role, either Editor or View Only, which sets the baseline for what they can do.
Editor: Can view and make changes to data across your Dashboard.
View Only: Can view data and download reports, but can't make any changes.
From there, you'll choose exactly which parts of the Dashboard each person can access, based on the role they've been assigned.
Users with Editor access can make changes to any data within the modules you've given them access to.
Any component you don't select for a user stays off-limits, and they won't be able to view or edit it.
Removing A User
In the Users tab, locate the user whose access you'd like to remove.
Click the ellipses (⋯) next to their name, under the Actions column.
Select Remove User from the dropdown menu.
Use Case Examples
Gift Entry Volunteer
Imagine a volunteer helps your organization by entering checks and cash donations. They don't need to see your full list of contributions or donor details, just enough access to use the Gift Entry tool.
Assign them the Editor role, then select the Gift Entry permission. This limits them to adding new Donor Profiles and viewing/editing donations within open Gift Entry batches.
Want them to pick existing Donor Profiles from the dropdown instead of only entering new ones? Add the People permission as well.
Executive Pastor
Picture a leader in your organization who wants visibility into incoming contributions and the ability to explore analytics, but doesn't need to touch the underlying data.
For someone like this, View Only access paired with Analytics and Contributions permissions is the perfect fit.
Operations Team
Say someone on your Operations team is responsible for keeping funds up-to-date as your fundraising priorities shift.
You can make them an Editor of just the Campaigns module, giving them everything they need to create, remove, and edit campaigns.
Design/Marketing
Suppose your Marketing team handles updates like your logo or the wording in your acknowledgment letters.
Making those changes requires Editor access to Organization Settings, but that access isn't selective.
Granting it opens up every tab within Organization Settings, including your financial information. Make sure that trade-off works for your team before assigning it!
