Reconciliation and Deposit Batches

This guide will help you reconcile the payouts recorded in your Overflow Dashboard with the deposits you receive in your bank each month.

Accessing the Reconciliation Dashboard
Once you have logged into your Dashboard, navigate to the Reconciliation module in the left sidebar.
Here, you will find a list of payouts made to your organization's bank account.
Only online payment methods are supported, including Card, ACH, Apple Pay, Google Pay, Stock, Crypto, and DAF.
Offline cash and check gifts can be viewed in the Gift Entry tool.
Understanding the Payout Data
Deposit Summary
Deposit Date
Statement Descriptor
Amount — Net deposit to your organization's bank account
Bank Account — Payout accounts can be managed in your Dashboard settings.
Deposit ID
Payment Method — Card, ACH, Apple Pay, Google Pay, Stock, Crypto, and DAF. (Offline donations can be viewed in the Gift Entry tool.)
Status — Check whether a deposit batch has already been reconciled (✅).
Monthly Reconciliation
Click on the Filter button in the top-left corner, above the Reconciliation table.
You can set the Deposit Date filter to display relevant data.
In the dropdown menu, you can easily select Last Month.
You can also create custom date ranges, if you're looking for a specific payout.
Use the Deposit Type filter to choose whether to display only cash donations processed through Overflow or to include payouts from imported contributions.
Click the Apply button to apply your changes.
Exports for Further Analysis
Export the Contribution Table
The CSV file will be sent to your email as a link for download.
Exported reports no longer show a separate line item for the total deposit amount in each batch. Instead, they list only the individual contributions linked to each deposit.
💡 To find the total deposit amount, simply add up the contributions under each Deposit ID.
Create a Pivot Table
After opening the file in Excel or Google Sheets, we recommend creating a pivot table to differentiate between deposits and contributions.
✅ The deposited amount should match the net amount recorded in your bank account.
When you double-click the Deposit table, it will resemble the reconciliation table found in the Dashboard.
When you double-click the Contribution table, you can view the individual contributions that total to the monthly deposit.
